To strengthen the capacity of the Secretariat of the EaP CSF, we are offering on a regular basis, an internship opportunity for recent graduate and/or students in their final stages of studies. It is possible to conduct a 6-month internship in our team in three main areas: Communications, Administration & Advocacy or Eastern Partnership Index.

Additionally to an internship opportunity, EaP CSF works regularly with contractors and service providers. Specific Calls for Consultants and other services are regularly updated in this section.

 

Creative Communication Traineeship

Description 

The Secretariat of the Steering Committee of the Eastern Partnership Civil Society Forum (EaP CSF) is looking for a Creative Communications Trainee to join its growing team. 

You will work alongside the Communications Manager to design, create and distribute engaging communication materials supporting the objectives of the EaP CSF.

The Communications team is responsible for the EaP CSF communications including:

  • Copy drafting and digital content creation,

  • Visual communications (including photo, video, design, branding),

  • Media relations,

  • Social-media channel management,

  • Website update and content,

  • Digital impact analysis.

The team also plays an important role in supporting events and particularly two key events: the EaP CSF Summit and the EaP CSF Youth Conference.

You will work closely with the Advocacy and Membership teams to draft engaging copy and design engaging visual, video and digital content aimed at raising EaP CSF’s brand across key target audiences. You will also work with EaP CSF’s National Platforms and member organisations in the region to design digital campaigns on key EaP CSF work areas.

We are seeking talented and creative individuals who can come up with creative content, can work autonomously (with guidance) and are eager to expand their skills in cause communications. This traineeship is perfect for students or young graduates with strong skills in audio-visual communication including photography, graphic design, video motion or video editing. This traineeship will allow the selected candidate to develop their drafting, project management and audio-visual communication skills in a professional environment. It will also give exposure to a wide range of communication techniques including copywriting, media relations, social media management, campaign design and event organisation.

Description 

The Secretariat of the Steering Committee of the Eastern Partnership Civil Society Forum (EaP CSF) is looking for an Events and Admin Officer to join its growing team. 

The Secretariat of the Steering Committee of the Eastern Partnership Civil Society Forum (EaP CSF or the Forum) is looking for an Events and Admin Officer with solid event organisation and office management experience to join its growing team in the organisation’s office in Brussels.  

The Events and Admin Officer will be responsible for planning, coordinating, and executing all events organised by the organisation, including the yearly EaP CSF Summit – a large conference gathering +300 participants – as well as the EaP Index launch event and dissemination events, EaP Youth conference, EaP CSF workshops, seminars, webinars, team meetings, statutory meetings and other related events of the Forum. Additionally, the candidate will oversee administrative tasks to ensure the smooth functioning of the office, maintain relations with various office suppliers and contractors, handling phone calls, emails, invitations, and correspondence.

Client description 

The Eastern Partnership Civil Society Forum (EaP CSF) works together with 1000+ organisations to promote European integration, facilitate reforms and democratic transformations in the six Eastern Partnership countries – Armenia, Azerbaijan, Belarus, Georgia, Moldova and Ukraine. It is the largest umbrella organisation of NGOs from the Eastern Partnership region and the EU. 

EaP CSF’s mission is to ensure effective participation of civil society organisations in the process of planning, monitoring and implementation of the Eastern Partnership policy.  

Project need

As part of its communication work, EaP CSF is looking for a consultancy to design and create a custom-made CRM tool. Ideally, the CRM will be designed using open-source software like Odoo. It must also be able to interact with the EaP CSF website and its email marketing platform. 

Specifics 

The CRM will need to feature two sets of data: 

  • Key contact details including 
  • Gender, 
  • First and Last Name, 
  • Phone number,  
  • Email, 
  • Job title, 
  • Location,  
  • Organisation name, 
  • Two additional blank fields: 
    • Notes 
    • Area of Expertise field (with a tagging system) 

A set of filters including:

  • Type of organisation (with 14 sub-categories and several sub-sub-categories), 
  • Country of interest (with 7 sub-categories), 
  • Theme of interest (with 5 sub-categories). 

The CRM will need to interact with the sign-up form of the EaP CSF website and its email marketing platform. 

Selection criteria 

Each proposal will be judged according to the following criteria: 

  • Price, 
  • Data security, 
  • Compatibility with website and email marketing platform,

Applicants are required to submit a detailed proposal containing: 

  • The technical solution proposed, 
  • An indicative timeline, 
  • The team involved in the project, 
  • Examples of similar projects carried out, 
  • A quote listing all expected costs.

Payment modalities 

The Client agrees to pay the service provider the agreed upon fee for the project. The payment terms will be as follows: 

  • 50% at the signature of the contract, 
  • 50% after final delivery.
